Automobile Manufacturer and Retailer Experiences Smooth Business Processes via Customized Open ERP

Business Situation

With about 200 categories and more than 1000 products, our client‘s eCommerce platforms serves thousands of active customers online. With a striking growth in their online presence, it had become difficult for them to manage business processes and synchronize with other systems. With no centrally available data and existing software lacking financial management capabilities, monitoring inventory and stock levels was not possible, eventually leading to significant procurement and warehouse operations. One major concern was that their shipping tool had no scalability in terms of business volume.

When our client approached us, we discussed the requirements to transform business processes;

We were looking for a system that could help enhance the entire manufacturing process, facilitate quality control, monitor inventory and enable advance reporting in case of call-backs or defects.

Solution

LTS’s expert team developed an ERP application for 2-way Synchronization between the ShipStation, QuickBooks, PayPal and Authorize.net, UPS applications and OpenERP 7.0.

The OpenERP application now serves as a central data system where it pulls orders of users in the online market place from the ShipStation application and syncs with QuickBooks (accounting software) to grab product data.

We created custom modules by modifying existing modules for client’s customer service department handle Return Merchandise Authorization (RMA), add notes to orders, send refund requests via button on specific order screen, create new or additional shipments, etc.

The solution focused on streamlining various business processes to enhance operational efficiency enabling multiple departments to communicate more readily and synchronously.

With custom OpenERP, DNA Motoring has the following features;
• Admin Area: Form to sync with ShipStation and QuickBooks
• Message Centre: Send and receive messages from internal contacts
• Inventory Centre: Fetch inventory status data from QuickBooks.
• Order Centre: log of all orders from all stores.
• Order view: Detailed Order Description.
• Setting Users and Permissions: Assign and de-assign roles, create or delete users
• Email Customer: Send emails to customer.
• Refund Request: Create refund request to admin or authorised person, containing order details. Refund amount can be returned through PayPal or Amazon after processing
• Submit Return: User can submit return to customer by choosing the transaction account of PayPal or Amazon according to the marketplace store.
• Copy to new order: Add non-shipped items from previous order to new order
